Send a mailshot

The mail sending system behind mailshots was substantially updated in 10.5. Mailshots send immediately unless a delay is purposefully set or there's more than a thousand recipients. There's no size limit and mails are sent as multi-part with the plain text and HTML formatted in combination. The mailshot screen now auto-fills the sender name and email from the logged in user details  and all mailshots are recorded in the audit trail.

To send a mailshot to all the subscribers on one or more mailing lists:

  1. In the Manage tab, click Send emails.
  2. Subject of email - type the subject of your email in this box.
  3. From (name) - if you want to tell subscribers who has sent the email type your name into this box.
  4. From (email address) - type your email address in this box.
  5. Reply To (email address) - if you want subscribers to reply to a different email address type it in this box. If you leave this box blank replies will be sent to the 'From' email address in the box above.
  6. Body text for plain format emails - enter the text you wish to send to plain text subscribers in this box.
  7. Choose whether to send an existing web page (HTML Page URL) from your site or to enter HTML directly (HTML Code)
    • HTML Page URL option - to send an HTML format email and the information that you want to send already exists on a web page (e.g. a page on your website) click on the choose a page picker. See here for details on formatting of such pages . Existing page or assets (added in 10.4) can be chosen
       Mails are sent as multipart so it will be down to the recipients email client to decide whether they receive them as plain text or HTML
    • HTML Code option - to send an email comprised of HTML code for your email, select this option and enter the HTML code into the Body text for HTML format emails box.
  8. Choose whether you want to send the mailshot immediately or send it at a fixed time in the future. Leave blank to send immediately. (new in 10.3)
  9. Select the mailing lists to which you want the email to be sent - tick the appropriate boxes.
  10. Click Send Mailshot at the the top of the page. The top ten most recently sent mailshots are also listed.

The admin system also provides a table of the last 10 previously sent emails including sender (added in 11.0).

Remember it's always better to send a mailshot first to a small number of users as a test before sending to large list. Mailshots contribute to you site bandwidth allowance.
